This Returns, Refunds & Cancellation Policy explains how Olympiad Industries handles order cancellations, returns, refund requests, manufacturing defects, incorrect products, and other order-related claims.
Because Olympiad Industries primarily manufactures custom-made, made-to-order, and private-label apparel, many products are produced specifically according to the customer’s approved designs, sizes, colors, branding, quantities, and other specifications.
For this reason, custom-manufactured products are generally not eligible for return or refund simply because the customer changes their mind after production has started or been completed.
1. Custom-Made Products
Most products supplied by Olympiad Industries are manufactured specifically for an individual customer.
Custom orders may include:
- Custom sportswear
- Team uniforms
- Activewear
- Streetwear
- Kidswear
- Private-label clothing
- Custom colors
- Customer logos
- Names and numbers
- Custom embroidery
- Sublimation
- Screen printing
- Heat transfers
- Custom labels
- Hang tags
- Custom packaging
- Special measurements
- Customer-specific product specifications
Because these products are made specifically for the buyer, they may have little or no resale value to another customer.
Accordingly, custom products generally cannot be returned simply because the customer no longer wants them.
2. Customer Approval Responsibility
Before production, customers may be asked to approve materials such as:
- Product mockups
- Artwork
- Logos
- Colors
- Samples
- Fabric
- Size charts
- Measurements
- Names
- Numbers
- Label designs
- Printing positions
- Embroidery positions
- Packaging
- Product specifications
Customers are responsible for carefully reviewing all information before approval.
Once approved, Olympiad Industries will normally manufacture the order according to those confirmed specifications.
3. Change of Mind
A return or refund will generally not be available when a customer:
- Changes their mind after placing the order
- Decides they no longer need the products
- Changes their brand direction
- Cancels an event or tournament
- Finds another supplier
- No longer intends to resell the products
- Changes their preferred design after approval
This is particularly important after materials have been purchased or manufacturing has begun.
4. Incorrect Information Provided by the Customer
Olympiad Industries is not responsible for errors resulting from incorrect information approved or supplied by the customer.
Examples include:
- Incorrect spelling
- Wrong player names
- Wrong jersey numbers
- Incorrect sizes
- Incorrect measurements
- Incorrect quantities
- Wrong logo files
- Incorrect colors specified by the customer
- Incorrect delivery information
- Incorrect label details
Customers should review all final specifications carefully before approving production.
5. Order Cancellation Before Production
If a customer requests cancellation before production has started, Olympiad Industries may review the request.
A full or partial refund may be possible depending on whether costs have already been incurred.
Costs may already include:
- Product development
- Pattern making
- Artwork preparation
- Sample development
- Material purchasing
- Fabric booking
- Printing setup
- Embroidery setup
- Label production
- Packaging preparation
- Banking or payment charges
Any costs already incurred may be deducted before a refund is considered.
6. Cancellation After Materials Have Been Purchased
If materials have already been purchased specifically for an order, the related costs may be non-refundable.
This can include:
- Custom fabric
- Special colors
- Custom-dyed materials
- Zippers
- Ribbing
- Elastic
- Labels
- Tags
- Packaging
- Printing materials
- Other customer-specific components
Olympiad Industries may discuss available options with the customer depending on whether those materials can reasonably be reused.
7. Cancellation After Cutting Has Started
Once fabric has been cut according to approved patterns, the order has entered a significant stage of custom production.
Cancellation at this point may result in part or all of the payment becoming non-refundable.
This is because cut fabric and prepared components may no longer be usable for another customer.
8. Cancellation During Stitching or Embellishment
Orders normally cannot be cancelled without substantial charges once:
- Stitching has started
- Embroidery has been completed
- Sublimation has been printed
- Screen printing has been applied
- Heat transfer has been applied
- Names or numbers have been added
- Customer branding has been installed
At this stage, products are already customized for the buyer.
Any cancellation request will be assessed based on completed work and costs already committed.
9. Cancellation After Production Is Complete
Orders that have been fully manufactured according to approved specifications generally cannot be cancelled for a refund.
This applies even if the products have not yet been dispatched.
The customer remains responsible for any outstanding balance according to the agreed payment terms.
10. Sample Cancellation
Sample development may involve separate costs such as:
- Pattern development
- Fabric
- Labor
- Artwork preparation
- Embroidery setup
- Printing setup
- Labels
- Courier charges
Once sample development has started, sample charges may be partially or fully non-refundable.
Shipping charges for samples that have already been dispatched are generally non-refundable.
11. Returns of Custom Products
Custom-manufactured products generally cannot be returned unless there is a legitimate issue such as:
- Confirmed manufacturing defect
- Incorrect product supplied
- Major deviation from approved specifications
- Significant production error attributable to Olympiad Industries
Returns must not be made without prior authorization from Olympiad Industries.
Unauthorized returns may not be accepted.
12. Manufacturing Defects
If a customer believes products contain a manufacturing defect, they should contact Olympiad Industries as soon as reasonably possible after delivery.
Examples of potential manufacturing issues may include:
- Significant stitching defects
- Incorrect garment construction
- Major measurement deviation outside reasonable manufacturing tolerance
- Incorrect embellishment compared with approved artwork
- Significant printing defects
- Significant embroidery defects
- Wrong products supplied
Each claim will be reviewed based on the approved order specifications and available evidence.
13. Normal Manufacturing Tolerances
Apparel manufacturing may involve reasonable variations.
Minor variations may occur in:
- Measurements
- Stitch placement
- Print placement
- Embroidery placement
- Fabric shade
- GSM
- Garment dimensions
- Pattern matching
- Finishing
Small variations that fall within reasonable apparel manufacturing tolerances are not automatically considered defects.
If highly specific tolerances are required, they should be agreed before production.
14. Color Differences
Colors displayed on:
- Computer screens
- Mobile phones
- Digital mockups
- Photographs
- Messaging applications
may differ slightly from physical fabric or printed products.
Different fabric batches or dye lots may also show minor shade variations.
Such reasonable differences do not necessarily qualify a product for return or refund.
For projects where exact color control is critical, customers should request and approve appropriate physical samples or color references before bulk production.
15. Size and Measurement Claims
Garments are manufactured according to the approved size chart, measurements, sample, or agreed specifications.
A size-related claim may not qualify for a refund if:
- The customer approved the size chart
- The customer supplied incorrect measurements
- The wrong size was ordered
- The wearer selected an unsuitable size
- The difference falls within reasonable manufacturing tolerance
Where a substantial manufacturing measurement error is confirmed, Olympiad Industries may propose an appropriate solution.
16. Artwork, Names and Number Errors
Customers must carefully approve all:
- Logos
- Artwork
- Names
- Numbers
- Sponsor information
- Text
- Spelling
- Placement
before production.
If Olympiad Industries manufactures according to the approved file or mockup, the product will generally not qualify for refund because the customer later identifies an error already present in the approved artwork.
If Olympiad Industries makes an error that materially differs from the approved artwork, the matter will be reviewed separately.
17. Reporting an Issue
Customers should report potential defects or order discrepancies promptly after receiving the shipment.
A claim should include, where relevant:
- Customer or company name
- Order or invoice reference
- Product name
- Quantity affected
- Clear description of the issue
- Photographs
- Video where useful
- Measurement evidence where relevant
- Packaging photographs
- Shipping information
Providing clear evidence allows us to investigate the matter more efficiently.
18. Products Should Be Kept in Original Condition
Where a claim is being investigated, affected products should ideally remain:
- Unused
- Unwashed
- Unaltered
- Unprinted by another party
- Unembroidered by another party
- Unrepaired
- In reasonably original condition
If products have been significantly altered after delivery, it may become difficult to determine whether an issue existed when the goods were supplied.
19. Claim Review
Receiving a complaint does not automatically mean that a refund has been approved.
Olympiad Industries may review:
- Approved artwork
- Sample approval
- Size chart
- Production specifications
- Quality-control records
- Photographs
- Videos
- Packing records
- Customer communications
before determining an appropriate resolution.
20. Possible Resolutions
Where Olympiad Industries confirms responsibility for a significant manufacturing issue, an appropriate solution may include, depending on the circumstances:
- Repair
- Replacement
- Reproduction of affected items
- Partial credit
- Partial refund
- Other mutually agreed solution
The appropriate remedy will depend on the nature and extent of the issue.
21. Replacement Products
If replacement is agreed, Olympiad Industries may reproduce the affected products according to the originally approved specifications.
Replacement production and delivery time will depend on:
- Material availability
- Quantity
- Production schedule
- Embellishment
- Shipping destination
The customer will be informed of the expected process where possible.
22. Partial Defects
If only part of an order is defective, any remedy will normally apply to the affected portion rather than the entire order.
For example, if five garments in a larger shipment are confirmed defective, the resolution may relate to those five garments rather than all products supplied.
23. Refund Amounts
Where a refund is approved, the amount may depend on:
- Quantity affected
- Product value
- Nature of the defect
- Work completed
- Materials used
- Shipping costs
- Payment fees
- Other relevant circumstances
Shipping charges and third-party banking fees may not always be refundable.
24. Refund Method

25. Shipping Costs for Returns

Where a confirmed manufacturing defect is attributable to Olympiad Industries, appropriate shipping arrangements may be discussed.
Where the issue results from customer error, change of mind, incorrect specifications, or another matter outside our responsibility, the customer may be responsible for shipping costs.
26. Products Damaged During Shipping
Damage caused during transportation is different from a manufacturing defect.
If cartons or products appear damaged when delivered, customers should:
- Take photographs immediately
- Keep the shipping carton
- Keep damaged packaging
- Photograph affected products
- Record the quantity affected
- Contact Olympiad Industries promptly
A claim may need to be made with the courier, freight forwarder, or shipping insurer.

27. Lost Shipments
Refunds for shipments lost in transit may depend on:
- Courier investigation
- Shipping insurance

Olympiad Industries will reasonably assist with available shipping claims where appropriate.
28. Customs Charges
Customs duties, import taxes, VAT, brokerage fees, or other destination-country charges are generally not refundable by Olympiad Industries because they are normally collected by third parties or government authorities.
Customers should contact the relevant authority where a customs refund may be available.
29. Refused Deliveries
Refusing a delivery does not automatically cancel a custom manufacturing order or create a right to a refund.
A refused shipment may result in:
- Return shipping charges
- Storage fees
- Customs costs
- Re-delivery charges
- Other logistics expenses
These costs may be charged to the customer where the refusal is not caused by an error attributable to Olympiad Industries.
30. Private-Label Products
Private-label products are specifically customized with elements such as:
- Brand labels
- Neck labels
- Hang tags
- Packaging
- Printed branding
- Embroidery
- Brand-specific colors
Because these products are highly customized, they generally cannot be returned or refunded unless a qualifying manufacturing issue is confirmed.
31. Wholesale and Bulk Orders
Bulk manufacturing orders are produced based on confirmed specifications and approved production arrangements.
Customers should therefore complete appropriate sampling, artwork approval, sizing confirmation, and specification checks before authorizing bulk production.
After bulk production starts, cancellation or major specification changes may involve substantial non-refundable costs.
32. Chargebacks and Payment Disputes
Customers should contact Olympiad Industries directly before initiating a payment dispute or chargeback.
We encourage customers to allow a reasonable opportunity to investigate and resolve legitimate order concerns.
Any payment dispute should accurately reflect:
- Approved specifications
- Work completed
- Goods supplied
- Shipping records
- Customer approvals
- Relevant communications
Olympiad Industries reserves the right to provide relevant business records to banks, payment providers, or financial institutions when responding to a payment dispute.
33. Fraudulent Claims
Olympiad Industries reserves the right to reject claims that appear fraudulent, intentionally misleading, manipulated, or unsupported by reasonable evidence.
Fraudulent activity may also result in refusal of future business.
34. Customer Cooperation
Customers are expected to cooperate reasonably during a claim investigation.

- Photos
- Videos
- Measurements
- Product samples
- Packaging information
- Order references
Failure to provide sufficient information may prevent a claim from being properly assessed.
35. Individual Order Agreements
A specific quotation, invoice, purchase order, manufacturing agreement, or written arrangement may contain terms that apply specifically to an individual order.
Where agreed terms differ from this general policy, the specific written terms for that transaction may take priority to the extent applicable.
